Meeting Minutes – 10.3.2023
 
Location:  Meeting at Monarch Hotel conference room 
 
Board Members Present:  Kevin Quick, Josh Gavrich, John Chapman, Ellyn Jeck
Board Members Absent:  Darrell Maxwell, Dave Nachand, Steve Shroeder
Homeowners Present: Dave Blank, Nancy Hall
Guests: None
 
Call to Order:  7:07pm by President

Approval of Meeting Minutes: Board Meeting September 2023
All board members present approved minutes.
Homeowners Concerns: 
  • None
Action outside of Sept meeting:
  • Board members voted [via email] to hire Ash Creek [after evaluating three contractors] to conduct cleanup of green spaces.
    • President made a motion to approve formally in the meeting. All members present voted in favor.
BOARD OFFICERS/COMMITTEE REPORTS
 
President: Kevin Quick
  • Discussion with Jim and Ron [93rd Ct] about trees/bushes between property lines and other issues from previous meeting
    • Trees alongside property lines present on other properties in the HOA
    • No major issues with debris in yards [reviewed by numerous board members]
    • Talked with Ron about “bins” being left on the front side of the house as an issue
  • Talked with homeowner on 98th Ct with the recent house painting [Luau green]
    • Approval was given by Chuck previously and homeowner is pleased with how it came out.
    • Board to look at developing a “color wheel” for maintaining consistency of colors in the neighborhood
Vice President: Josh Gavrich
  • Nothing to report
Treasurer: John Chapman
  • Income statement and reserve study presented
    • Financial statements for 2022-2023 fiscal year can be reviewed by homeowners by contacting the Treasurer directly [not posting direct on website].
    • ~$5k surplus for year ending 4/30/23 will be utilized to fund the greenspace management project.
    • Reserve study plan for the next 5 years expenditures
  • Financial update
    • ~80% dues paid for ’23-’24 year so far, in line with previous years
    • Only a few homes are multiple years in arrears.
  • Will look into alternate venues for in person meetings [cost considerations and proximity]
Secretary: Darrell Maxwell
  • Not present
Architectural:  Chuck Zwick
  • Not present
Covenants:  Ellyn Jeck
  • Nothing to report
    • Ellyn has been instrumental in getting the greenspace project going. Greenspace project starting next week as previously noted.
Safety: Steve Schroeder
  • Not present
Board Member at Large: Randy Flynn
  • Not present
Environmental: Dave Nachand
  • Not present
General Discussion:
  • Need to communicate the work going on in the green spaces to the community
    • Work potentially starting the week of 10/9 [next week from meeting]
    • Need to be prepared to communicate chemicals being used as homeowners may request information
  • Concern brought up about clearing of paths and the debris being deposited in the center woods or homeowners yards. Need to follow up with maintenance crew/supervision to understand current state.
  • Yard waste bin dates need to be posted on the website with approximate locations.
  • Newsletter contents:
    • Presidents corner
    • Board member openings
    • Yard waste bins
    • Work being done for fuels mitigation
    • Obituary for board member who passed
      • John to check with their spouse
  • Reminder about pets and being a good neighbor [barking dogs, nuisance pets, etc]

Next Regular Board Meeting:  November 7th, 2023 7:00PM, to be held in person. Normal meetings to be conducted the first Tuesday of the month, except in July and December when there will be no meeting.
